Band
The band fundraiser that pays for the trip.
Uniforms, instruments, competition fees and the spring trip. A band fundraiser has to cover all of it, and the director has a show to put on the field. Here is the sale Brian runs for band programs in any state.
A band fundraiser has a deadline. The trip deposit is due in January, the uniforms were ordered in June and the competition entry fees do not wait. A car wash does not cover that. A two-week product sale with an online store does, and the director’s part is five minutes at rehearsal. Brian has run band fundraisers since 1994, and a 150-kid middle school band in Asheville sold $15,000 in an October sale this fall.
What the band fundraiser pays for
The spring trip
Buses, hotels and the festival fee. The fall sale puts the money in the account before deposits are due.
Uniforms and shoes
New uniforms are a multi-year project. A strong fall sale every year is how programs get there.
Instruments and repairs
Tubas, percussion, the sousaphone that finally gave out. Big-ticket items that one sale can cover.
Competition and festival fees
Entry fees, judges, the drum major's trip to camp. The small invoices that add up by spring.
Why band kids sell this
They are selling a link, and the catalog has popcorn, sweet treats and cookie dough from Giving Market, a Booster company. A trumpet player texts the store link to an aunt in Ohio, the aunt orders from her phone and the box ships to her door. The kid collects VIP Duck collectibles during the sale and the prize program tracks every order in an admin site. Nobody stands in a parking lot on a Saturday.
How a band sale runs
- The call. Brian and the director or booster president. The goal, the roster, the football and competition calendar.
- The window. Two clean weeks. Brian sets the kickoff, the midpoint push and the finish around the band calendar.
- The kickoff. Five minutes at rehearsal with Brian’s script. Each student gets a store link and a paper form.
- The sale. Families share the link. Brian sends the day seven push that wakes up the second half of the roster.
- Delivery. Program orders ship pre-sorted to the director or treasurer. Online orders ship straight to the supporter.
Marching band, concert band, jazz and orchestra
The sale is the same for a big marching band and a small strings program. The marching band has more families. The strings program has parents who will share the link harder. Brian has run both, and the booster treasurer gets the same walkthrough on how online and paper orders come in. Band directors who want to see the Asheville sale in detail can read it on the case studies page.
Timing around football season
A marching band’s calendar is full from band camp to playoffs. The sale fits in a two-week window after Labor Day and before the first competition, with the kickoff on a Monday that is not a game week. Brian looks at the schedule with the director and sets the dates. The money arrives before trip deposits and winter invoices. Concert band, jazz and orchestra programs have more room and often run in the first weeks of October. Spring windows, late January through March, work for programs funding a summer trip. Book the fall window before summer so the dates are yours.
Band, chorus and cheer programs share one page at teams and groups. The full step-by-step is on how it works. Bands across the Southeast can see what their neighbors raised this fall.
Questions people ask
When should a band run its fundraiser?
Fall, in a two-week window that misses football games and the first competition. Brian looks at the band calendar with the director and picks the window. The check arrives before trip deposits are due.
Can the band boosters run it instead of the director?
Yes. Most do. The booster president or treasurer runs point, the director gives five minutes at rehearsal for the kickoff, and Brian handles the rest.
How does a small band raise real money?
The online store. A jazz band or a strings program with motivated parents reaches relatives in any state. Roster size matters less than how many families share the link.
What does the band pay up front?
Nothing. Zero upfront cost and no minimum. Brian sends the catalog and the parent letter the day you book a call.
